Tickets Overview

Tickets allow non-VaultCONNECT users to access your VaultCONNECT files, providing collaborative viewing of a file without having to email or make multiple copies of that file. By creating a ticket for a file, you create an exclusive link (providing a secure unique web address) to that file. This prevents indexing by search engines and keeps your files as private as you need them to be. That link can have an expiration date, and a limited number of visits and may further be password protected.

To create a ticket:

Note: in order to send tickets to a file the user must administrative rights on the file.

  1. Check the "Manage" icon next to the file you wish to send a ticket to.
  2. Click on the "Email" button in the navigation bar.
  3. Fill in the address, message, etc.
  4. You can select recipients from your address book by clicking the "Address Book" link and selecting the recipients' names.
  5. Click "OK". A ticket is sent and user is returned to the file management page.
OR:
  1. Check the box next to the file you wish to send a ticket to.
  2. Click the "Email" button in the navigation bar (next to print).
  3. Fill in the address, message, etc.
  4. Click "OK". A ticket is sent and user is returned to the directory page.
  5. To send tickets to multiple files, check the box next to each file and click the "Email" button.
Note: Ticket (links) can not be sent to a directory.

To display existing tickets or delete an existing ticket:

  1. Go to the Ticketing screen of the file for which you wish to view tickets by clicking on that file's "Manage" icon then "Tickets" link. A list of tickets for this particular file is displayed
  2. Click on the small "x" icon to delete the ticket.
  3. Click "Back" twice to return to the original folder in which you began.

Tickets have the following properties:

    Lifetime Defined as the length of time for which the ticket is valid. The lifetime ranges from 1 hour to 1 year. Once the lifetime expires the recipient will no longer be able to access the file.
    Password Require a password that you choose to further secure access to the files. This password should not be communicated to the recipent with this email for your security.
    Log File Access This will assure that the file logging is turned on for this file and will allow the sender to review access to the file.

Because the link only points to a specific file, that file can be changed or edited over the lifetime of the ticket so that any time a user clicks on the link, the correct and most current version of that file shows. If the file is moved, renamed or deleted, the link will be void.
